There is a huge market for scheduling software because wasting time scheduling meetings, appointments, or calls, either with your own team, prospects, or clients, through back and forth emails, simply make you lose time and money. So does client no-shows who cost you even more. Calendly is a well-known scheduling tool, but there are many alternatives that might be a better fit for your type of business or organisation.

The most advanced Calendly alternatives are Acuity Scheduling, which is more for small businesses, and OnceHub which caters more to B2B oriented companies. If you are just starting and you are looking for useable free plans, Calendly, YouCanBookMe, SetMore, SimplyBook, 10to8 and Appointy have decent free plans. If you focus is more on face to face appointments then you should check SetMore, SimplyBook, and Appointy

Who is it for
Calendly is a scheduling system that can be used by many, but its feature and positioning are more towards tech companies. They just recently implemented the option to accept payments (a feature that will enable small businesses to schedule appointments with clients). It also does not have HIPPA compliance, which shows they are not (yet) targeting clients in the medical domain.

Free plan - Calendly has a usable free plan with nice user experience, so if you are a startup founder, bootstrapping your way up, you can definitely start here. It includes connecting one calendar that enables you to book meetings, get and send email reminders, embed the calendar in your site, and more.
Monthly price plans - $10, and $15 per user. There is a yearly discount.

Calendar sync - based on your plan you can connect several calendars (business and private for example) so you can avoid double-booking meetings on any of them.
Duration-based event types.
Team features - schedule with any team member (round-robin or equal distribution optimisation) and group events.
Reminders - email and SMS reminders.
Personalisation - personalised links, remove Calendly branding, customised email notifications (including adding links and auto-redirect).
Embedding on a website and adjust colors.
Integrations - Zapier, Intercom, Zoom, GoToMeeting, Salesforce, Hubspot, Facebook pixel, Google analytics, and payment options (Paypal and Stripe). There is no Calendly Wordpress plugin, but there are ways to embed Calendly in Wordpress.
HIPPA compliant - no.
Handling timezones - presenting time in both the inviting party and invitees timezones.
Make me look busy feature - There is no way to close or block slots directly in Calendly, you’d have to do it on your Google/Microsoft Calender. This is a feature I saw demand for.

Best Calendly Alternatives and Competitors
1). Acuity Scheduling
Who is it for
Owned by Squarespace, Acuity Scheduling caters towards small and medium businesses who schedule both offline and online appointments. Only around 2% of its customers are enterprises. They put emphasis on paid appointments features (think doctors, therapists. Yoga instructors etc.), including resource allocation and availability (like a number of rooms, or cars), and have a lot of eCommerce tools like coupons and upsells.

Free - there is no real free plan.
Paid - 1 calendar/$10, 6/$25, and 36/$50 (if you have 3 locations and in each location, there are 3 team members with calendars to sync, then you need 9 calendars). Contact the team for more calendars.
Acuity Features
Acuity features are really impressive and they include many of Calendly’s features and more, below are the some points worth mentioning:
Unlimited event types.
“Make me look busy” feature - you can block slots directly on Acuity and “look busy”. This feature is in high demand across Calendly users. It’s also unique comparing to all other alternatives.
One disappointment I had is with regard to time zones. When invitees book appointments or calls, they see the inviting party’s time zone unless they choose theirs (if the inviting party asked them for the time zone during the scheduling process). This is not user friendly, but it fits small local businesses who usually don’t deal with time zones.

Who is it for
More for B2B sales teams, with clients who go through a long funnel. OnceHub has two complementary products. ScheduleOnce which is similar to Calendly, in which I’ll focus, and InviteOnce which is a way to set more requirements-specific meetings (set meetings to two team members from different departments who need to attend).

SetMore looks like the ideal appointment scheduling software for small businesses. It looks very modern and with a lot of social integrations, and it seems like a great fit for a barber or other beauty and wellness related businesses. Its pricing is great for teams, and it looks like their main business model is accepting calls for you. You should definitely pay attention to them.

Mixmax is an email automation tool that also integrates with your Google calendar. It is not a real “heavy-weight” Calendly alternative, but you can use it to set your availability preferences and enable invitees to pick the best time for them. 7). Calendar.com
Who is it for
It took me some time to figure this one out. This is definitely for startups. They claim their AI tech learns your habits and make it easier to schedule the more you use it, I didn’t give it enough try to verify this. Very similar to a Google calendar in terms of user experience and ease of use. Currently only for individuals, but they say they soon release team and enterprise plans.
